How this website handles your information.
Your Information
This website does not use advertising. It uses Google Analytics to understand how the site is used, as described below.
If you send an enquiry through the contact form, we collect your name, email address, organisation (if given), the topic you choose and, if you give it, the Harvard school you’re interested in, and your message. We use these details only to respond to you and to keep a record of the enquiry.
Enquiries are stored with our hosting provider, Cloudflare, and are available only to the website’s administrators. We do not sell or share your details. We keep enquiries only for as long as we need them, and you can ask us to delete yours at any time.
Scholar network accounts
Menzies Scholars who join the scholar network give us their name, email address and a password (which we store only in scrambled, one-way hashed form). Anything else on a profile, such as your role, organisation, location, fields, bio and links, is optional and you can change or remove it at any time. How the scholar network works explains what other scholars and the public can see.
Your profile is visible to other signed-in scholars. It appears on the public Honour Roll only if you switch on “Show my profile on the public Honour Roll”, and your email address is never shown publicly. Other scholars see your email address only if you choose to share it.
Honour Roll pages and bios
A Menzies Scholar can have a public page with their scholarship year, Harvard degree and a short professional bio. Scholars can write their own bio, or hide it, from the scholar network (My bio). Where a scholar hasn’t written one, the site team may publish a bio compiled from published sources, such as university, employer, government and Harvard Club pages, after checking it; the sources are listed on the page, and it includes only professional and public information, never family, contact or other personal details. Scholars can also propose a correction to their Honour Roll entry. Anyone can ask us to correct or remove a bio by contacting us.
When you sign in we set one essential cookie to keep you signed in. It contains a random code, not your personal details, and it is removed when you sign out.
Google Analytics
Our pages, including the scholar network and its sign-in pages, load Google Analytics (provided by Google), which sets cookies to measure visits, the pages you view, clicks, scrolling, downloads and form submissions, and the device and approximate location you visit from. We send page addresses without the part after “?” and with anything that looks like an ID removed, and the address and title of a scholar’s profile page are replaced with a placeholder, so no scholar’s name is sent. We never send your name, email address, profile details or anything you type into a form. We also measure how fast pages load and respond (Core Web Vitals). When you send the contact form, request access to the scholar network or create your account and we accept it, our server tells Google Analytics so (only the form’s name, linked to the same Google Analytics cookie), and only if you have accepted or live where no banner is needed.
If you are in the European Economic Area, the United Kingdom or Switzerland, Google Analytics stores nothing until you choose “Accept” in the banner; “Reject” keeps it off. Your choice is remembered in your browser. If your browser sends Do Not Track or Global Privacy Control, we load no Google or Cloudflare analytics script and our server sends Google nothing. Google Analytics keeps this data for 14 months. See Google’s How Google uses information from sites that use its services.
If a page breaks in your browser, it tells our server what broke: the error message with numbers, links and email addresses removed, the script and line, the page address without IDs or scholars’ names, and your browser’s name. No cookies or identifiers are involved, so this runs for every visitor.
We also count visits with Cloudflare Web Analytics, which uses no cookies, and our server records each page request (page, referring site, country and device type) without cookies or IP addresses. A scholar’s profile address is recorded as a placeholder, not their name.
You can delete your account at any time from the Account page. Your entry on the Honour Roll, which is a public record of the scholarship, stays.
So that they open without a connection, your browser keeps copies of How to apply and its guides when you first visit, and of some other public pages when you read them, such as the Honour Roll. The copies stay on your device and are not sent to us, and pages you see while signed in to the scholar network are never kept. Clearing this site’s data in your browser removes them.
Other
Requests for access or a password reset are kept so we can respond, and are deleted when no longer needed.
Like most websites, our hosting provider keeps standard technical logs, such as IP addresses and the pages requested, for security and reliability.
